Privacy Policy

We're straight up about how we handle your info

Look, We Get It

Privacy policies are usually boring as hell, but they matter. We've been running this studio since 2012, and honestly, we've learned that trust is everything in architecture - whether we're designing your dream home or handling your email address.

This policy explains what info we collect when you interact with Embervex Quinthor, why we need it, and what we do with it. No corporate nonsense, just the real deal.

What Info We Actually Collect

When you reach out to us or browse our site, we might collect:

  • Contact stuff: Your name, email, phone number, and address when you fill out forms or shoot us a message
  • Project details: If you're inquiring about a project, we'll keep notes on what you're looking for - budget ranges, timelines, your style preferences
  • Technical data: IP addresses, browser types, and how you navigate our site (pretty standard web stuff)
  • Communication records: Emails, calls, and meeting notes - we need these to actually do our job and remember what you told us

We don't collect anything weird or unnecessary. If we need something specific for a project, we'll ask you directly.

How We Use Your Info

Here's the thing - we're not selling your data or doing anything shady. We use your information to:

Project Work

Respond to your inquiries, prepare proposals, and manage ongoing projects. This is literally our business.

Communication

Send you updates about your project, answer questions, or share relevant info about our services.

Website Improvement

Figure out what's working on our site and what's not. If everyone's bouncing off a certain page, we wanna know.

Legal Stuff

Keep records for contracts, insurance, and regulatory requirements. Architecture's heavily regulated in Canada.

Who We Share Info With (Spoiler: Not Many People)

We're pretty protective of your data. We might share it with:

  • Project partners: Engineers, contractors, or consultants we work with on your project - but only what they need to know
  • Service providers: Companies that help us run our business (email hosting, cloud storage, website hosting). They're bound by their own privacy rules
  • Legal requirements: If the law requires it or we need to protect our rights. Hasn't happened yet, hope it never does

We don't sell your info to marketers, data brokers, or anyone else. That's not how we operate.

Cookies & Tracking

Yeah, we use cookies - not the chocolate chip kind, unfortunately. They help us understand how people use our site and remember your preferences.

We use basic analytics tools to see things like which pages get the most traffic or where visitors are coming from. It's pretty standard stuff, nothing creepy.

You can disable cookies in your browser settings if you want, but some parts of the site might not work as smoothly.

Your Rights (Yes, You Have Them)

Under Canadian privacy laws and general common sense, you can:

  • Access your data: Ask us what info we have about you
  • Correct mistakes: Tell us if something's wrong and we'll fix it
  • Delete your data: Request that we remove your info (unless we're legally required to keep it)
  • Opt-out of marketing: Stop receiving newsletters or promotional stuff
  • Get a copy: Request a portable copy of your data

Just shoot us an email or give us a call. We'll sort it out within a reasonable timeframe - usually within 30 days.

How We Keep Your Data Safe

We take security seriously. Our systems use encryption, secure servers, and regular backups. We limit access to your info to only the team members who actually need it.

That said, no system's 100% foolproof. We do our best, but if there's ever a breach, we'll let you know ASAP and tell you what happened and what we're doing about it.

How Long We Keep Your Info

We don't hoard data forever. Here's generally how long we keep stuff:

  • Inquiry data: If you contact us but don't become a client, we'll keep it for about a year
  • Project files: For active and past clients, we keep records for 7-10 years (architectural regulations require this)
  • Financial records: Tax reasons mean we gotta keep these for at least 7 years
  • Website analytics: Usually stored for 12-24 months, then it's deleted

Kids' Privacy

Our services aren't directed at children under 16. We don't knowingly collect data from kids. If you're a parent and think we might have info about your child, let us know and we'll delete it.

Changes to This Policy

We might update this policy occasionally - when laws change or when we update how we do things. If there's a major change, we'll post a notice on our site or send you an email.

The date at the top shows when we last updated this thing.

Questions? Just Ask

Seriously, if you've got questions about this policy or how we handle your data, don't hesitate to reach out. We'd rather have a conversation than leave you wondering.
